The following are the TERMS & CONDITIONS established for all Kilimanjaro climbs, safaris, and other adventure trips provided by Rocky Africa & Eco Experience Ltd. (Tanzania).

Reservations & Payment Schedule

A deposit of US$500 or 20% of the total trip cost per person (whichever is larger) is required at the time of booking. US$500 of the deposit is non-refundable (but can be used when changing the travel season).

Final payment of the remaining balance is due 90 days prior to the scheduled first day of the trip. If a reservation is made within 90 days of the scheduled first day, the entire price must be paid at the time of booking. If a reservation is made within 20 days of the scheduled first day, a non-refundable rush booking fee of US$75 per person is charged.

Prices, Booking & Modifications of a Trip Itinerary

Trip prices shown on itineraries include all fees and taxes (including VAT) and are based on supplier prices, fees, and Rocky Africa & Eco Experience Ltd costs at the time of booking. Rocky Africa reserves the right to alter trip prices should inflation, cost of fuel, labor, materials, or exchange rates change. If the Tanzania National Parks Authority (TANAPA) raises park fees or any service provider increases their rates, Rocky Africa reserves the right to require additional payment from the client.

Quoted prices are subject to change, and accommodation availability is not guaranteed until a signed registration and deposit are received. At this point, Rocky Africa books accommodations and services and finalizes the itinerary with a final price. Subsequent modifications may result in a price change.

Inclusions/Exclusions

Excluded from all trips:

  • Costs of passports and visas

  • Baggage charges

  • International airfare & airport departure taxes

  • Travel & medical insurance

  • Medical & evacuation fees

  • Activities & meals not included in each itinerary

  • Personal expenses (cold beverages, alcohol, laundry, communication charges)

  • Gratuities

Client Participation, Preparation & Insurance

Clients are responsible for their physical and mental preparedness for a trip. Those with heart disease, chronic illness, physical disabilities, advanced pregnancy, or mental illness are advised not to participate in adventure expeditions.

Clients must ensure they meet passport, visa, vaccination, health, and other entry requirements for each destination.

ROCKY AFRICA does not provide medical, evacuation, or travel insurance. Clients must obtain their own insurance if desired. In case of injury or medical emergency, clients are responsible for all charges incurred.

Client Cancellations, Refunds & Alterations

Rocky Africa follows this refund policy. Trip cancellation insurance is recommended.

  • 90+ days prior: US$500 deposit forfeited.

  • 45-89 days prior: 25% of the total trip price forfeited.

  • 15-44 days prior: 50% of the total trip price forfeited.

  • 14 days or fewer: 100% of the total trip price forfeited.

Cancellations must be made in writing, and the email date stamp will verify the date.

No refunds for trips already in progress. Refunds for missed services are only considered with verifiable extenuating circumstances (claims must be made in writing within 45 days of the scheduled last day, accompanied by documentation).

If a client alters a trip in progress, any additional expenses are the client’s responsibility (e.g., accommodation, meals, flights, activities). If a client fails to complete an itinerary due to illness, injury, or personal choice, additional costs incurred are also the client’s responsibility.

ROCKY AFRICA Cancellations & Alterations to Trips

Rocky Africa reserves the right to cancel any trip due to changes in air schedules, ground transportation, security, weather, or other unforeseen circumstances affecting client and staff safety. In such cases, all payments for the canceled portion will be refunded, releasing Rocky Africa from further liability.

Rocky Africa is not responsible for non-recoverable expenses such as international air tickets, visa fees, vaccinations, clothing, and gear purchases.

Alterations to a trip due to external circumstances (e.g., accommodation, meals, flights, activities) may require additional payment from the client.

ROCKY AFRICA Disclaimer

Rocky Africa acts as an agent providing trip services and assumes no responsibility for injury, illness, loss, or damage related to:

  • Acts of God

  • Weather, detention, quarantine

  • Strikes, thefts, force majeure

  • Transportation delays or failures

  • Civil disturbances, terrorism, government regulations

  • Changes in services beyond its control

Each company providing services is independent and not controlled by Rocky Africa. Thus, Rocky Africa is not responsible for non-performance by suppliers.

Baggage & personal effects are at the owner’s risk throughout the trip. Rocky Africa takes every care but is not liable for loss, damage, or delayed delivery.

All services are subject to local laws and regulations.

Signed Agreement

Adventure travel involves inherent risks, which clients accept at their own risk.

All trip participants (or their guardians, if minors) must read and sign a voluntary release/waiver before departure in Tanzania.
